REDCap Account Access, Project Migration, and Project Archive Procedure

Creating a REDCap Account

VU Employees

  1. Access the REDCap portal: Go to the main REDCap website (https://redcap.vanderbilt.edu) and look for information on joining.  
  2. Login using your VUNetID: Please make sure you are using the VPN. If you do not have a VUNetID you can enter your email address.
  3. Verify your email address: After your first successful login, you will receive an automated email with a verification link.  
  4. Click the verification link: This link will confirm your email address and finalize the account setup.  
  5. Start using REDCap: Once your account is verified, you will be able to log in and begin creating projects or using the system's features. 

External Users (without a VU or VUMC email address):

  1. Individuals - please request an account HERE.
  2. For multiple collaborators, email vuredcap@vanderbilt.edu directly with a list including:
    1. First and last names
    2. Email addresses (these will serve as usernames)
    3. Institutional affiliation
    4. VU sponsor name and email

Migrating a REDCap Project - Quick Tool

For the most comprehensive migration, the above Migration Quick Tool is suggested.

Basic Steps to Migrating a REDCap Project (metadata and data)

  1. Login to the VUMC.org instance (https://redcap.vumc.org ) 
  2. Access your project 
  3. Select “Other functionality” tab at the top of the project 
  4. Select “download metadata & data (XML) if you want to move the data as well as the project.  If you only want to move the project, select “download metadata”  
  5. Once your project is migrated, make sure to "Mark the Project Complete" in the VUMC instance.

  1. Login to the Vanderbilt instance (https://redcap.vanderbilt.edu ) 
  2. Select “New Project” 
  3. Complete the information about the project but select “Upload a REDCap project XML file (CDISC ODM format)” and then upload the file you exported previously. 
  4. Once your project is migrated, make sure you put it into "Production" if it had previously been in production in the VUMC.
