Circulation of Reserve Materials

A reserve item may only be checked out of the library by faculty members, an approved TA listed on the reserve form, or the Learning Resource Center.  The reserve item must be charged to the patron following the procedures below.

When the item is returned to the Media Center, it must be discharged and placed back on the reserve shelf.

            Checkout policy for reserve movies:

·        Faculty members or designated TA’s may check out movies on reserve for their own class. Preferably the teacher will not need the item for more than one week, though exceptions can be made if necessary.

·        Faculty members may check out movies that are on reserve for another teacher for ONE DAY only.

·        The LRC may check out reserve movies as requested by the professor.

Procedures for checking out reserve movies:

·        Verify that the person is a faculty member, TA, or from the LRC.

·        You will use the “newt” override code to check out movies on reserve. Sometimes you need to enter it multiple times.

·        Record the movie title and to whom it was checked out on the markerboard at the front of the office.

For the LRC:

o       When checking out movies to the LRC, you will not need to worry about the due date. Simply check out the movie using the LRC card or entering the LRC ID number taped to the circulation computer screen (0331261), and entering the “newt” override.

For faculty members or TAs (movies on reserve under their name):

o       If the faculty member/TA is checking out a movie on reserve for their OWN class, ask them how long they will need the movie.

o       Go to the “Checkout” tab in Workflows. In the upper far right corner there is a calendar icon that reads “Special Due Date” if you move the cursor over it. Click on this icon. Click on the diamond-shaped symbol  and select the appropriate date on the calendar. Check the box that says “For this checkout only”.

o       Record the movie title and to whom it was checked out on the markerboard.

o       You can also use the “Modify Due Dates” under the “Special” toolbar to adjust the due date AFTER the item has been checked out. Click on the function and select the current user, or swipe the user’s card. Find the appropriate title on their list of checkouts and click on the diamond-shaped symbol next to the title. Select the item due date and hit OK. You will then need to click on the  Modify User Due Dates” button at the bottom of the screen.

o       The screen should then read “Record Updated” next to the item. If you do not see this, the due date has not been changed.

For faculty members or TAs checking out movies on reserve for another professor:

o       If a faculty member or TA wants to check out a movie that is on reserve for another professor, the movie can only be checked out for one day.

o       Inform the professor or TA of this policy and verify that they can return the item the following day.

o       Use the “newt” override to check out the item. The due date should automatically come up as the following day. If it doesn’t, use the procedures above to modify the due date so that it is due the next day.

o       Record the movie title and to whom it was checked out on the markerboard.
