Copyright Clearance Services moved from Vanderbilt University Printing Services to the Jean and Alexander Heard Library at the beginning of July, 2001.
 
 

Copyright Clearance Services (CCS) manages obtaining permissions, keeping records, and paying associated royalties for class-related use of copyrighted materials at Vanderbilt University. Copyright Clearance coordinates with Campus Copy, part of Vanderbilt University Printing Services so that Class Paks can be reproduced, and with the Library so that electronic reserves can be mounted. In addition to these primary faculty services, CCS clears individual items and provides other special copyright related services for the University.

Printed Class Paks

Class Paks have all the advantages of traditional printed textbooks. Copyright Clearance works in tandem with Campus Copy to reproduce copyright protected materials for sale to students in a class. Class Paks are printed after all rightsholders' royalty fees have been reported and approved, so six to eight weeks lead time is advised, and completed paperwork must accompany your materials. PLEASE NOTE THAT WHILE NON-COPYRIGHTED MATERIAL IS NOT SUBJECT TO CLEARANCE, SUCH PAKS SHOULD BE SUBMITTED NO LATER THAN THREE WEEKS PRIOR TO THE BEGINNING OF CLASS TO PROVIDE ADEQUATE PRINTING TIME. If you haven't heard from CCS by two weeks prior to the beginning of class, please call us.

Electronic Reserves & Online Course Readings

Faculty who scan copyrighted materials to place online for a course obtain permissions through VU Copyright Clearance Services (CCS), attribute the works, and ensure that only students enrolled in the course can gain access. Any items that are available in online resources licensed by the Library should be linked (rather than scanned) to avoid the need for permissions and royalty fees.
 
When faculty ask the library to place materials on either Eres or OAK (Blackboard), reserve staff will scan and link the items, provide the necessary security, and work with CCS to obtain any needed copyright permissions. When library reserve staff are not involved in maintaining course pages, whether they are posted in OAK or in other applications not supported by the library, faculty should work directly with the CCS. In addtion, faculty are advised to consult with the dean of their school to confirm that the school has approved of copyrigh fee payment for electronic reserves. Forms are provided to request library electronic reserves or permission for non-library online readings. Rightsholders' fees for electronic reserves and website permissions are charged back to the individual colleges.
