Preparing EReserves & Online Course Readings

Faculty may place class readings and other course materials online for their students' convenience. How you request copyright clearance and manage the process depends on whether your class readings are mounted on the Library's Electronic Reserve systems (ERes or OAK), or on non-library course management software (e.g, Prometheus or your own Web pages).

Library Electronic Reserves Step-by-Step

In general, requesting electronic reserves in the library is similar to requesting print reserves. Please contact ereserves staff in the library that serves your department for more specific information. (See also the pages: Course Reserves and Electronic Reserves.)

Complete the Electronic Reserves Request Form of your choice. The Web form automatically sends your information both to the ereserves library staff member you select, and to Copyright Clearance. Please print the confirmation screen for your records. If you have Microsoft Excel and prefer the downloadable Excel form, print the completed form for the ereserves library staff member, and save the file for your records or to re-use later. In either case, be sure to indicate if you wish to link to these readings using non-Library courseware (e.g., Prometheus).

Deliver clean, unstapled, single-sided photocopies of the items you listed to the ereserves contact in the library you specified in your request. Please label the package with your name, course, semester, and any desired instructions. If you used the Excel form, include the printout and also provide a copy of the file on disk (or send it as an email attachment to copyright@vanderbilt.edu).

Library staff will create links to any items available in collections licensed by the Library. Your own unpublished materials will be scanned and mounted on the Library's server. Remaining works will also be scanned and posted, and simultaneously reported to Copyright Clearance Service. CCS which will seek permissions, pay royalties and keep needed records. Your ereserves contact will advise if a course password is needed; please give it to your students. If a permission should be denied or if the royalty fee is excessive, you will be notified and alternate access will be arranged. When using material from a book, please note that most publishers will not permit use of more than 10% of a book that is still in print. Be aware that some publishers will not permit electronic reproduction of their material at all; these items will need to be put on physical reserve.

 

Online Readings Using Non-Library Courseware

Faculty who create class pages outside the Library's electronic reserves systems must still work with Copyright Clearance when copyrighted items are involved. If you rely entirely on non-Library courseware to post your materials, your library's ereserves staff need not be involved. Use either of the EReserves request forms, list only copyrighted works, indicate which platform you are using (Prometheus, Blackboard, etc.), and send the form to CCS only. CCS will handle any needed permissions. Please note that permissions generally endure only for the semester for which they are requested.

If you wish to link from your non-Library courseware to documents hosted on the Heard Library Electronic Reserve system (ERes or OAK), please follow the steps outlined in the section above, being certain to indicate this preference on your request form. Principal advantages to this approach are that you can integrate readings with other elements within your courseware, and that you may be able to avoid the need for a class password.

Faculty may of course mount their own unpublished creations on their own Web pages, along with any other works to which they own the copyright. Scanning and placement of other works online should be discussed with Copyright Clearance. (Rightsholders generally require as a condition of permission that access to their work be more securely limited than Web pages easily provide, so this approach may not be desirable.)
