Requests to reserve a room may be submitted by any Vanderbilt University student, by using the Group Study Room Reservation Form (link leads to dialog box that requires VUNet login).
General Guidelines
In order for us to post a schedule of daily reservations each morning, reservations for the next day must be submitted prior to 5:00pm. Our staff do not process reservation requests on weekends or holidays. Requests submitted right before a weekend may not be confirmed for up to two days.
Rooms may be reserved for up to 2 hours, in one hour increments. Student requests for rooms may be submitted up to 7 days in advance. Recurring reservations are not accepted.
When a room is not reserved, it is available on a first-come, first-served basis, with priority given to groups of 2 or more.
If the group who reserved a room does not show up, the room reservation is forfeited at 15 minutes past the beginning reservation time.
Please return the furniture to its normal configuration following use.
The library reserves the right to re-assign or refuse to make a reservation.
Some rooms are equipped for computer video projection, as well as DVD/VCR display. Requests for equipment and/or technical assistance must be received with the room reservation request at least 48 hours before the meeting or study session.
Daily schedules showing reservations will be posted each morning. If the room has not been reserved for a particular time, it can be used as available. Spontaneous users should anticipate clearing the room when a reserved time slot approaches. Individual users should be willing to surrender the room to a group wishing to use the space for collaborative work.
Group study / Meeting rooms in the Central and Divinity Libraries are available for library-related meetings and instructional sessions as well as student study. Library meetings may be requested by any Heard Library staff member by utilizing the room reservation system on the Staffweb. These rooms are scheduled on a first-come first-served basis. Recurring reservations by Heard Library staff members are permitted.

Group study/seminar rooms in the Divinity Library may be scheduled for Divinity School/Graduate Department of Religion seminars. Classroom assignments are made by the Office of the Divinity School Dean; reservations of the room and provision of equipment (when requested in advance) for those classes are handled by the Divinity Library.
Reservations at Other Libraries
Room 224, Divinity Library
Room 224 serves as one of the Divinity Library's Subject Study areas. When it is not reserved for classes or meetings, individuals or groups are welcome to use that room, but others wishing to access the collection shelved there must be free to enter and use the room as well. The space may not be reserved by students. However, library staff may reserve Room 224 for meetings.
